CLIENT PORTAL

What your clients see

The portal from your client’s side: the invitation, signing in with a code, their placements, previewing and downloading documents, and how their privacy is kept.

The invitation

When you give a contact access, they get an email from your agency’s name with your logo at the top. It says what the portal is, that there’s no password to remember, and has one button to open it. Replies come to whoever on your team sent it.

Northfield Staffing has shared documents for the candidates placed with you

Hi Joe,

Northfield Staffing has set you up with a secure portal for Blue Haven General. In it you can see every candidate they’ve placed with you, and open or download their compliance documents whenever you need them.

Signing in

The invitation’s button opens your portal’s sign-in page with their email already filled in. They ask for a code, it arrives by email, and they type or paste the six digits. No account to create and no password to forget.

  • A code works once and expires after 10 minutes. Five wrong tries and it stops working; they can ask for a new one after 30 seconds.
  • The page answers the same way whether or not an address has access, so nobody can use it to find out who your clients are.
  • Once in, they stay signed in while they’re using it. An hour without activity, or 12 hours in all, and they sign in again.
A contact who says the code never came: check their access is switched on and their email in your ATS is the one they’re typing, then ask them to look in spam. The activity log shows every code they asked for.

Their placements

The portal opens on an overview: a greeting, how many candidates are working with them now, who’s starting soon, and how many placements have documents expired or about to expire. Every placement is also in the sidebar, searchable and grouped as Current, Upcoming and Ended, with the candidate’s photo where your ATS has one.

Documents, previews and downloads

Opening a placement shows every document you share for it in one list, with tabs for Contract and Candidate documents, a search, and sorting by date or name. Beside each one: when it was added, and its expiry as Valid until, Expires (within 30 days) or Expired. Anything added since their last visit is marked New.

  • Preview. Picking a document shows its details and a live preview beside the list; Expand opens it full size. PDFs and photos show straight away, Word documents too when your ATS can turn them into PDFs.
  • Download. Any document, in its original form.
  • Download all. Every document for the placement in one zip, named for the candidate and job, up to 100 files. A file that can’t be fetched is listed in a MISSING.txt inside rather than spoiling the rest.
  • Refresh. Every page says when it was last updated and can be refreshed to read your ATS again.
When a document has expired or expires within 30 days, a notice at the top of the placement says so, with: “Your agency tracks renewals with the candidate. Contact your consultant if you need an update.”

Privacy, on their side

  • Nothing left open. Previews show inside the portal, never in a tab of their own, so closing the portal closes the document. A preview untouched for 15 minutes hides itself, with a minute’s warning and a Keep it open button.
  • Only their placements. They never see another client’s placements or contracts, even for a candidate placed with both.
  • Only the essentials. A candidate’s name, job title and placement dates, and the documents you share. Never their personal contact details or rates.
  • Recorded. Every view and download is in your activity log, and the portal tells them so.

Files they download are theirs to keep, like any document you’d email them. The portal’s job is to make sure the right people get the right documents, and that you can see that they did.
