How JobAdder will connect

1

Sign in with JobAdder

Connect from GettingDocs and approve access in JobAdder.

2

Nothing to set up in JobAdder

GettingDocs registers the web hooks it needs when you connect, so status changes reach it straight away.

3

Choose who gets chased

Pick by candidate status, or by a job and its pipeline stage, such as “Offer”.

4

Switch the rule on

Preview who it would chase, then switch it on. Each document lands on the candidate’s JobAdder record.

Before you start

  • A JobAdder user who can see your candidates, to sign in and approve access.
  • A custom field on the candidate listing the documents each person owes.
Data

What GettingDocs will read and write in JobAdder

JobAdderReads from the candidate
  • Name, email address and phone number
  • Candidate status, recruiter and folder
  • Job applications with their pipeline stage, and placements
  • Whether the candidate has unsubscribed
  • Files already attached to the candidate
GettingDocsWrites back to the record
  • Each collected document, attached to the candidate under the matching attachment type
  • An optional note once every requested document is in
NeverCreates candidatesEdits candidatesMoves stagesChanges statusesDeletes files

JobAdder stays your system of record. GettingDocs only adds documents and, if you want it, one note. Rejecting a document in GettingDocs never deletes anything from JobAdder.

Where documents land in JobAdder

JobAdder Candidates Sarah Jones

Documents are attached to the candidate’s JobAdder record, under the attachment type that fits.

  • References, checks and licences are filed as such. Everything else is filed as “Other”, with the document type at the start of the filename.
  • Nothing already on the record is changed or removed: GettingDocs only adds files.

Filed first, then checked

Every file is filed the moment it arrives, so there's always a record of exactly what the candidate sent. Amy then opens it. If it's unreadable or the wrong document, she tells the candidate what was wrong and chases again automatically. If it's really a different document they owe, it's counted as that one instead.

If JobAdder can't accept a file, it goes to your Google Drive instead (if you've connected it) and you're told.

Safeguards

Who is never contacted, and other protections

Unsubscribed candidates are never chased

A candidate marked as unsubscribed in JobAdder is never contacted.

You choose what “do not contact” means

Pick the JobAdder statuses, such as “Do not use”, whose candidates should never be chased.

Security
