Every worker on site with the right cards and certifications
GettingDocs is construction staffing onboarding software that gathers the cards, licenses and paperwork a general contractor checks at the gate. Amy asks each craft worker for what they still owe over WhatsApp or email, checks every photo that comes back, and files it on their record in your ATS, so the crew you promised for Monday shows up with site access already sorted instead of a phone full of excuses.

Thanks, Amy · Keystone Craft Staffing
A crew of 12 turns up on site. The GC sends three home because their OSHA 30 cards aren’t on file.
A general contractor asks for twelve craft workers on a commercial job starting Monday: electricians, a welder and general labor. Every worker needs an OSHA 30 card, the site-specific safety orientation, fall protection training and a clean drug screen on file before the badge is printed. The electricians also need a current journeyman license. Here is the same week, twice.
- Wednesday
The order is confirmed. A recruiter phones twelve workers and emails a PDF checklist to anyone with an email address.
- Thursday
Most send photos of their cards back to the recruiter’s personal phone. Some arrive, some don’t.
- Friday
Two OSHA 30 cards come in as photos of the wrong card: an OSHA 10 and a forklift certificate.
- Friday evening
A welder’s card is still sitting in a voicemail promise. The file goes to the GC incomplete.
- Monday, 6:30 a.m.
At the gate, the GC’s safety manager checks the list and sends three workers home.
Three workers lose a day’s pay, the job starts short handed and the GC calls a competitor for the next order.
- Wednesday
The placements show in your ATS. Amy messages all twelve workers on WhatsApp with exactly what each one still owes.
- Wednesday night
Cards and licenses start arriving. Each one is filed on the worker’s record the moment it lands.
- Thursday
An OSHA 10 card was sent in place of an OSHA 30. Amy explains the difference and asks again.
- Friday morning
Amy reminds the last two workers. The welder sends his card from the truck before his shift.
- Friday afternoon
All twelve files are complete in the ATS and go to the GC before the weekend.
Twelve badges printed, twelve workers on site Monday. Nobody on your team chased a single card.

Three steps, and nobody chases anybody
When a tradesperson is placed on a job, Amy messages them on WhatsApp or by email from your own domain, listing only what their file is missing. No portal, no login and no app. Craft workers reply with a photo taken on the job site.
Every file is filed as it arrives, then Amy opens it. A glare-covered card or the wrong certificate is sent back with a plain reason, and she keeps reminding on your schedule until the whole file is in. Anything she is unsure about goes to a one-click review queue.
Cards, licenses and forms are attached to the worker’s record in Zoho Recruit, Recruit CRM or Crelate, with an optional copy in Google Drive. Your team sees who is cleared for site access and who is not, crew by crew.
- OSHA 30 card
- Journeyman license
- Fall protection training
- Drug screen result
- Form I-9 documents
No portal, no login. Only what is still missing is ever asked for.
Construction worker certification tracking, from safety cards to I-9
Every general contractor and job site adds its own rules, but most construction worker onboarding checklists come down to the same four groups. Choose a placement type to see a typical file, and Amy asks each worker for exactly those documents.

Trade license and safety card collection for every kind of job
What a worker needs depends on the trade and the site. Chase rules in your ATS decide who is chased and for what, so each placement type gets its own list.

General labor
Laborers and helpers for cleanup, material handling and site support. High volume, short notice and an OSHA 10 card at minimum.
Skilled trades
Electricians, plumbers, HVAC technicians, welders and operators, journeyman or apprentice, each with licenses and certifications a GC will ask to see.
Foremen and site supervisors
Leads who run crews and often drive between job sites, with OSHA 30, master licenses and a motor vehicle record on file.
Short-term and emergency crews
Storm response, shutdowns and last-minute call-outs where a worker is needed tomorrow and every missing card costs a day.
Contract to hire
Tradespeople moving onto a contractor’s payroll, who need a complete file that passes the client’s own onboarding check.

Construction staffing questions
How do you onboard construction crews faster?
Ask every worker for everything they owe in one message, on the channel they actually check, and follow up until each file is complete. GettingDocs does this from the moment a placement lands in your ATS, so recruiters spend Friday filling orders instead of chasing cards.
What goes on a construction worker onboarding checklist?
Usually an OSHA 10 or OSHA 30 card, site-specific safety orientation, fall protection training, trade licenses and certifications for skilled roles, a drug screen, a background check authorization, Form I-9 and E-Verify, a W-4 and direct deposit, plus a union card or certified payroll details where the job calls for them.
Does GettingDocs do OSHA card verification or trade license verification?
No. GettingDocs collects the card and checks that it is the right document and readable, for example an OSHA 30 and not an OSHA 10. Confirming a card with the authorized trainer, or a license with the state lookup, stays with your team, who now start from a complete file.
How do we handle trade license expiration and renewals?
Chase rules read your ATS. If a candidate field or status in Zoho Recruit, Recruit CRM or Crelate shows a license or card is due for renewal, a rule asks that worker for the new one and files it on their record when it arrives.
Does it run drug screens, background checks or E-Verify?
No. Your screening providers and your team still do that. GettingDocs collects the signed consents and the results, so they sit on the worker’s record next to everything else. Decisions about who is cleared for site access stay with you.
Which applicant tracking systems does it work with?
Zoho Recruit, Recruit CRM and Crelate today, with Greenhouse coming soon. Documents attach to the worker’s record in your ATS, and can be copied to Google Drive if your team prefers.
