Candidates’ personal data
Getting Docs collects compliance documents (identity documents, certificates, checks and references) from candidates on behalf of the agencies that use it. Those documents are personal data, and the agency decides what is collected and why. In summary:
- Candidates are never asked to create an account, log into a portal or set a password with us. They reply to a message from the agency.
- Documents are filed into the agency’s own systems: their applicant tracking system or their Google Drive.
- Every file is screened before it is used, and a file that fails screening is never filed anywhere. See Security.
- Each subprocessor that handles personal data on our behalf has a data processing agreement in place. The full list, with what each one handles, is on the Security page.
- Data can be deleted at any time from Settings, under “Danger Zone”: documents, candidates, or the whole account. It leaves our live systems immediately, and any copy in backups is removed within 1 month.
Your rights under GDPR
You have the right to:
- Access and download your personal data
- Update or correct your account information
- Request deletion of specific data, or of your whole account
- Unsubscribe from email notifications at any time
- Lodge a complaint with a data protection authority
