FAQ

Questions, answered

What Amy does, where your documents live, and what it costs. If something here is not covered, ask us directly. A person reads every message.

Getting started

Under five minutes. Create an account, connect your Google Drive so documents have somewhere to land, pick the document types you need, and add your first candidates. Nothing to install and no implementation project.

No. That is the whole point. There is no portal, no account to create and no password to reset. Amy messages candidates on WhatsApp or by email, and they reply the way they would to any other message.

How the chasing works

She sends a personalised message listing exactly what is needed, then handles the back and forth: answering questions about what counts, acknowledging what arrives, and chasing whatever is still missing. Candidates reply in the thread with a photo, a phone scan or a PDF, and Amy classifies what she receives.

Your account runs on one channel at a time, set in Settings. WhatsApp requires a phone number for every candidate; email requires an address and a verified sending domain. Campaigns already running keep the channel they started on, so switching only affects new ones.

Most do not, and Amy is built for that. She keeps the thread open, answers questions about what will and will not be accepted, and follows up on a schedule rather than sending one request into the void.

Because Amy does not care how a document arrives, signing works with whatever your candidate already uses. They can sign in DocuSign or anything else, export the file, and send it back over the same conversation.

Yours. Email chasing sends from your own verified sending domain, so candidates see your agency rather than a third party they do not recognise. Domain verification is a one-off step in Settings.

Documents and storage

The standard compliance set is pre-configured: Background Check, Form I-9, proof of identity, proof of address, references, bank statements, professional certificates, insurance documents and signed contracts. Your region sets sensible defaults, and you can add your own document types on Professional plans.

On the candidate's record in your ATS, if you have connected one (Recruit CRM, Crelate, Zoho Recruit or JobAdder). Otherwise in your own Google Drive, filed by candidate and document type, and Drive is also the fallback if an ATS upload fails, so nothing is lost. You own those systems and the files in them; we are not a storage vendor. We do not keep copies: the only time a file is held on our side is while it waits for its virus scan, and it is deleted once it has been filed.

Only if you want to. Amy identifies what was sent, acknowledges receipt and updates the dashboard, so the normal case is that you watch a progress bar rather than an inbox.

Integrations

Recruit CRM, Crelate, Zoho Recruit and JobAdder, yes, both directions. You set a rule saying which candidates to chase, Amy chases them, and every document she collects is attached to that candidate's record in your ATS. Each one has its own page under Integrations explaining exactly how it connects. Greenhouse is coming soon; Bullhorn, Eclipse Software and Workable are on the roadmap.

Your account owner pastes their own Recruit CRM API key into Settings, and it stays yours, we store it encrypted and you can disconnect at any time, which also removes the webhooks we registered. You will need to be on Recruit CRM's Business plan or higher, since that is what includes API access, and only their Account Owner can generate a key. We read candidates and attach files; we never create or edit candidate records.

No. Connecting does nothing on its own. You have to write a rule and switch it on. Every rule has a Preview that runs the real search against your real data and shows you exactly who would be chased and for which documents, without sending anything. Rules also only ever consider candidates created or updated after the rule was made, so switching one on never retro-chases your whole database.

WhatsApp chasing through Twilio, email chasing and replies through Resend on your own domain, Google Drive for storage, and Recruit CRM, Crelate, Zoho Recruit and JobAdder for pulling candidates in and filing documents back.

Tell us which one. The roadmap is ordered by what customers actually ask for, so naming yours genuinely moves it: Recruit CRM got built first for exactly that reason.

Security and compliance

Yes. Documents are encrypted in transit and at rest, stored in a Drive your organisation controls, and we keep audit trails of what was requested, received and when. Our privacy policy sets out every processor involved and what each one touches.

Yes. GettingDocs scans every file a candidate sends for viruses itself, with ClamAV running on its own private infrastructure, before any AI reads the file and before it is filed to your ATS or Google Drive. It does not rely on Google Drive or your ATS to do this. Before the virus scan, programs and installer files are refused outright, and password-protected, archived and empty files are sent back to the candidate. The full process is on the security page.

It is never filed to your ATS or Drive and never shown to an AI model. The candidate is told why in plain words and asked for a different copy, and the document stays on their list of what is still needed. If the virus scan flags a file, you are told it was flagged by our security check and a note is left on the candidate's ATS record.

Your team, and the providers needed to deliver a message, check a document and store a file: Twilio for WhatsApp, Resend for email, Anthropic, whose AI reads each document to check it is the right one and readable, and Google for Drive. We do not sell or share data with anyone else, and the documents themselves live in your Drive rather than ours.

Yes. Settings has controls to delete all documents, all clients, or the entire account, and deletion removes the associated files from Google Drive as well.

Pricing and account

A flat monthly fee for the platform, plus a fee for each candidate delivered ready to work, which means every document they were asked for is in, checked and filed. You are never charged for a candidate who doesn't send their documents, and delivering someone again for new paperwork costs less than the first time. A short call gets you the exact figures for your volume.

Yes. Team seats and roles are included, so the people who own a placement can see the chase without going through you.

You keep every document, because they were always in your own Google Drive. Cancel whenever you like. There is no minimum term.

Still stuck on something?

Ask about your own setup: which documents you collect, which ATS you run, how your team is structured.
