What is a client portal for a staffing agency?
A private website, in your agency’s name, where contacts at the clients you place candidates with sign in and see those candidates’ compliance documents for themselves. It replaces emailing files, keeping shared folders in step, and answering requests for the same document again.
Do we still need a SharePoint site or shared folder for each client?
No. There is nothing to create per client: no SharePoint site, Google Drive or Dropbox folder, no permissions to set up, and no files to upload or keep in step. The portal shows the documents already on the candidate and the placement in your ATS. Handing a new client over is switching access on for their contacts and sending the invitation.
What about documents that only live in our SharePoint folders today?
The portal shows what is in your ATS, so add those files to the candidate or the placement there once. From then on they appear in the portal by themselves, and anything new you add in your ATS follows within a minute.
Do contacts need a Microsoft account or any software?
No. A browser and their work email are all they need. They sign in with a six-digit code sent to that email, with no account to create and no password to remember, on a computer or a phone.
With SharePoint we have to remove people when they leave the client. Do we here?
Not usually. Contacts come from your ATS, so a contact made inactive there or moved to another client loses access within 15 minutes by themselves. Switching someone’s access off in GettingDocs ends it at once.
How is this safer than sharing a folder link?
A shared link works for whoever it is forwarded to. In the portal, every page, preview and download checks again that this contact may see it, so a forwarded link shows nothing and the attempt is logged. Previews open inside the portal and close themselves after 15 minutes without activity.
Can we move clients off SharePoint gradually?
Yes. Start with one client and one or two of their contacts, and keep anything else as it is until you are ready. The handoff guide has a short message to send your contacts before their invitation, so it arrives expected.
Does GettingDocs store our documents?
No. Every document stays in your ATS. When your client opens one, it streams from your ATS to their browser and is not written to disk, a database or a cache anywhere in GettingDocs.
Which ATS does the client portal work with?
JobAdder, Crelate and Recruit CRM. Zoho Recruit and Greenhouse aren’t supported by the portal yet, though GettingDocs still chases and files documents for them.
Do contacts need a password?
No. They sign in with a six-digit code sent to their work email. A code lasts 10 minutes and allows five tries. Sessions end after an hour without activity, and after 12 hours in all.
Can a client see another client’s candidates?
No. A client only ever sees its own placements, and on each only the kinds of document you’ve chosen to share. A candidate placed with two of your clients has two placements, and neither client sees the other’s contract documents.
How quickly do new documents appear?
Within a minute of being added in your ATS, without anyone uploading anything. You can also press Refresh portal data to show them straight away, and your client has a Refresh button of their own.
Can we see what contacts open?
Yes. The activity log records every sign-in, preview and download, and every refused attempt, with who and when. Entries are kept for two years.
Does the portal carry our branding?
Yes. Your agency’s name and logo are on the portal, its sign-in page and the invitation, which comes from your name with replies going to your team.
