Reminder Email for Missing Documents: 4-Step Sequence

Copy a 4-step reminder email and WhatsApp sequence for candidates with missing documents: right to work, DBS and references, with timings for each message.

Below is a four-step reminder sequence you can copy today. It has a first request, two reminders and a final reminder, each for email and WhatsApp. If you searched "reminder email missing documents candidate", start at the templates, swap the brackets, and send. Each message names exactly what is missing, why it matters and the date it is needed by.

In short:

  • Send four messages: first request on day 0, reminders on day 1 and day 3, and a final reminder on day 5 or 3 working days before the start, whichever is sooner.
  • Use email and WhatsApp together. Email holds the detail, WhatsApp gets read.
  • List only what is still missing, and drop anything the candidate has already sent.
  • Every message gives one clear action and one deadline tied to the start date.
  • Keep the tone friendly and specific. The final reminder is firm, never threatening.

What is the best reminder sequence for missing candidate documents?

The best sequence is four short messages over about a week, each one shorter and more specific than the last.

StepWhen to sendChannelJob of the message
First requestDay 0, as soon as the candidate acceptsEmail, then a WhatsApp nudgeFull list, how to send, the deadline
First reminderDay 1WhatsApp first, email copyOnly what is missing, one easy next step
Second reminderDay 3Email, then WhatsApp, then a call if you canLink to the start date, offer help
Final reminderDay 5, or 3 working days before the start date if soonerBoth, same dayClear deadline and what happens if it is missed

The examples use three UK compliance items: right to work, DBS and references. Swap in your own list for the role.

1. First request (day 0)

Email version

Subject: Your documents for [Client] - needed by [date]

Hi [First name],

Great news on the [role] role at [Client]. Your start date is [start date].

Before you can start, we need three things from you:

1. Right to work: your share code if you have one. If not, a photo of your passport for now, and we'll arrange to see the original.
2. DBS: a photo of your DBS certificate, and let us know if you are on the DBS Update Service.
3. References: names and work email addresses for two referees who managed you in the last [X] years.

Please reply to this email with photos or PDFs by [date]. A phone photo is fine if all four corners are visible.

Any questions, just reply here.

Thanks,
[Your name]

Hi [First name], it's [Your name] from [Agency]. Congrats on the [role] role at [Client], starting [start date].

I've emailed you the full list. To get you cleared we need:
1. Right to work (share code, or a passport photo for now)
2. DBS certificate (photo)
3. Two referees with work emails

You can send photos straight back here. Could you get them to me by [date]?

2. First reminder (day 1)

Email version

Subject: Quick one - still need your [missing item]

Hi [First name],

Thanks for sending your [received item]. That's sorted.

We're still waiting for:
- [Missing item 1]
- [Missing item 2]

If it's easier, you can send a photo on WhatsApp to [number] instead.

Thanks,
[Your name]

WhatsApp version

Hi [First name], thanks for the [received item].

Just [missing item 1] and [missing item 2] left. A quick photo here is perfect.

Anything I can help with?

3. Second reminder (day 3)

Email version

Subject: Your start at [Client] on [start date]

Hi [First name],

[Client] is expecting you on [start date]. To keep that date, we need these by [deadline]:

- [Missing item 1]
- [Missing item 2]

If something is holding you up, tell me. Common fixes:
- Can't find your DBS certificate? If you're on the DBS Update Service, send the certificate number and we'll check it online with your permission.
- Waiting on a referee? Send their name and email and we'll contact them directly.

Thanks,
[Your name]

WhatsApp version

Hi [First name], just checking in. [Client] is expecting you on [start date].

To keep that date I need [missing item] by [deadline].

Stuck on anything? Reply here and I'll help sort it.

4. Final reminder (day 5, or 3 working days before the start)

Email version

Subject: Final reminder: documents needed by [deadline] to start on [start date]

Hi [First name],

This is my last reminder before your start date at [Client].

We still need:
- [Missing item 1]

If we don't have it by [time] on [deadline], we can't confirm your start on [start date] and may need to move it.

If you're no longer interested in the role, that's completely fine. Just let me know so I can update [Client].

Thanks,
[Your name]

Hi [First name], last reminder from me. I still need [missing item] by [time] on [deadline] or we'll have to move your start at [Client].

If your plans have changed, no problem, just let me know.

How should the tone change from first request to final reminder?

Start warm and complete, then get shorter and more specific with each message.

The first request carries the full list and the context. Each reminder after it should thank the candidate for anything already sent and name only what is left. Repeating the full list makes it look like nothing was received.

The final reminder states a consequence, but a factual one: the start date moves. Avoid "urgent", capital letters and blame. Offer an easy way out, because a clear "no" is better than silence.

What should never go in a reminder?

Never ask for documents you already hold, and never ask for passwords. Keep bank details and other sensitive data to the route your agency has approved for them, such as your payroll process.

When should you send each reminder?

Send the first reminder the next day, then leave 2 days, and anchor the final one to the start date.

  • Send in the morning or early evening. Many candidates are on shift during the day and catch up on their phones later.
  • Avoid late nights and weekends unless the start date is close.
  • Count back from the start date. Leave enough time to complete the checks themselves, not just to receive the files.

That last point matters for right to work. The check must be done before someone starts work, as the Home Office employer's guide sets out. The guide, updated on 1 October 2026, treats the agency supplying the worker as the employer for the check. For a manual check over a live video call, you must already have the original document in your possession. A photo alone is not enough. Our UK right to work checks guide covers the detail.

Why do candidates ignore document requests?

Most candidates are not refusing; they are stuck on something the template can fix.

  • The ask is vague. "Please send your compliance documents" means nothing to a candidate. The templates name each item.
  • They don't have the document to hand. DBS certificates get lost. Offer an alternative, such as an Update Service status check. Our DBS checks guide explains the levels, and GOV.UK explains how status checks work.
  • They are waiting on someone else. Referees are slow. The second reminder offers to contact them directly.
  • There is no deadline. Every template ties the ask to the start date.

Should you send a reminder email for missing documents or a WhatsApp message?

Use both: email for the full list and an audit trail, WhatsApp for the nudge that actually gets opened.

Candidates often send a phone photo far more readily on WhatsApp than they open a laptop to reply to an email. Only message candidates on WhatsApp if they have given you their number and are happy to be contacted that way. Record every document you receive on the candidate's record, whichever channel it came through.

How does Amy send and chase these same messages?

Amy, our AI document agent, sends this sequence for you, in your agency's voice, over WhatsApp and email from your own domain.

GettingDocs is an AI document agent for recruitment agencies that chases candidates for compliance documents over WhatsApp and email and files them to the ATS.

A chase rule in your ATS decides who is chased for what. Amy asks only for what is missing, answers candidates' questions in the thread and stops once everything is in. Candidates get no portal and no login.

Each file is checked. Blurred photos, cut-off pages and wrong documents are rejected and chased again. Accepted documents are filed to the candidate's record in your ATS and to Google Drive.

Frequently asked questions

How many reminders should you send a candidate for missing documents?

Three reminders after the first request is a sensible limit: day 1, day 3 and a final reminder on day 5 or before the start date. After that, call the candidate. More written reminders rarely help and can feel like pressure.

What should a final reminder for documents say?

A final reminder should name the missing item, give a time and date, and state the factual consequence, usually that the start date moves. It should also give the candidate an easy way to say they have changed their mind. Keep it polite and short.

Can candidates send right to work documents as a photo?

A photo helps you prepare, but it is not enough for a manual check. The Home Office says that for a manual check over a live video call, you must already hold the original document. Candidates with a share code can prove their status online instead. Check the Home Office employer's guide on GOV.UK for the current rules.

Is it OK to chase candidates for documents on WhatsApp?

Yes, if the candidate has given you their number and agreed to be contacted that way. Keep messages short, name what is missing and file what you receive to the candidate's record. Use email alongside it for the full list and a written trail.

What time of day should you send document reminders?

Morning or early evening tends to suit candidates who work shifts. Avoid late at night. If the start date is close, a weekend message is reasonable, but say why it is urgent.

Copy the template, or let Amy send it for you

Copy the sequence above into your email and WhatsApp today. If you'd rather stop chasing by hand, Amy can send the same messages, chase what is missing and file the documents to your ATS.

Book a call and we'll show you a chase running for one of your roles.
